Virtual Services

Bay Accounting and Tax Services proudly provides virtual (or online) bookkeeping, tax preparation and accounting services.

Some of the advantages of having a virtual bookkeeper are:

  • We can be available and accessible to you no matter where you are - in your office, out in the field, on a business trip
  • We can communicate by email, phone, online or by remote access - you decide what style you are comfortable with

How Does Virtual Bookkeeping Work?

If you think you would like Bay Accounting and Tax Services to be your online, virtual bookkeeper, here is how our process works:

  • Contact us to make an inquiry and we can exchange an email or two. If you are in the North Bay area, we can meet in person. Once we decide if we would be a good fit, we will send you a questionnaire to complete that tells us a bit about your business and your accounting needs
  • We will draw up an engagement letter, based on the information in your questionnaire, confirming the nature of our relationship and our respective obligations and responsibilities. We will email or fax the engagement letter for you to review, sign and email or fax back to us
  • We will email or fax consent forms for you to review, sign and email or fax back to us. These forms will allow us to communicate with CRA on your behalf
  • When we receive your signed engagement letter, we will send you a list of documents we require to get started. You will use the list to gather your documents to send us for processing
  • You choose your method of delivering your source documents to us. There are many options:
    • Upload documents to our secure website 
    • Send us your documents by courier, fax or email
  • If you are in the North Bay area we can arrange to meet in person and take your documents with us, returning them to you when we are finished with them

As you will be submitting your documents online, you will need to purchase a scanner if you don't have one yet.

  • Upon receiving your package, we will send you an invoice requesting a retainer prior to processing. The fee will have been discussed and agreed upon prior to this
  • We will complete the work as agreed and will deliver your finished product via your preferred method

Depending on the services you require there may be some minor variations to the above process, however, the general concept of virtual services is that it’s all done electronically.

Our Services

Our preferred client is located in the North Bay region and is a small business with 0 to 5 employees that currently uses:

  • the shoebox method or spreadsheet method of bookkeeping; OR
  • accounting software and is behind on their paperwork; OR
  • the procrastination method and has received a CRA demand letter because you've never done any bookkeeping since starting your business or are behind in your filing; AND
  • wants to catch up and stay on top of their business finances.

General Ledger Review

For work from home business owners doing their own books who want assurance they are on the right track; We will perform a high level review of your general ledger to see if there are any obvious problems. You may choose to have us walk you through the problems and how to correct them.
